Administrative Assistant, Bilingual

Hours: 40 hours per week; Monday - Friday, 8:00 am to 4:30 pm

As an Administrative Assistant, you will:

Support the Office Manager and/or Program Director to ensure the office operates efficiently and effectively. Perform a variety of clerical tasks in a fast-paced environment.

Duties include:

• Full-service reception and clerical duties including greeting visitors, answering phones and screening calls, taking messages, typing, filing, scheduling meetings, opening and distributing mail and performing data entry.
• Assist with front office management and operations as directed.
• Assist with preparation of medical records, if needed.
• Audit medical records for adherence to billing requirements, if needed.
• Report and track information for program management.
• Work collaboratively with all other members of the program team.

Our Adult Outpatient Programs (Areta Crowell Wellness Recovery Center, Douglas Young Wellness Recovery Center, Heartland Wellness Recovery Center, Jane Westin Center, Maria Sardinas Wellness Recovery Center, and South Bay Guidance Center) provide behavioral health services including psychiatric and clinical assessment, treatment planning, ongoing medication services, individual and group counseling, case management, crisis intervention, mobile outreach, vocational support, and peer support. We deliver fully integrated services to adult clients diagnosed with a serious mental illness, as well as individuals with co-occurring, mental health, and substance use disorders.

All of our outpatient programs also provide full-time walk-in services. Our programs utilize evidence-based practices to assist our clients in reaching their goals and to live the highest quality of life while managing their mental illness.

Jane Westin Center is a full-time urgent psychiatric walk-in center that provides screening, triage, clinical and psychiatric assessment, medication support, and discharge planning.

Additional Qualifications and Skills

• Bilingual Spanish is required for this position
• Two or more years administrative support experience to include a high level of demonstrated organizational and communication skills
• Ability to thrive in a fast-paced environment is essential
• Proficient computer skills, including MS Office, specifically Word and Excel
• Ability to pass criminal/background clearance
