Teletask powers public sector communication. Government and public health agencies use our automated text, voice, and email outreach to reach the families they serve. Our largest footprint is WIC (Women, Infants & Children) nutrition programs, where Teletask messaging drives appointment attendance for over 6 million participants across 35+ US states.
Teletask is at an inflection point, and we are building operational infrastructure to match the product. Teletask is now looking for a Senior Contract & Billing Operations Specialist to act as the operational engine for our revenue cycle. In this role, you will oversee the critical quote-to-cash process, ensure that deals are legally compliant, and successfully submitted through procurement portals. You will work hand-in-hand with our Finance team, including on POs and checks, so that nothing between a signed deal and cash in the bank falls through the gap.
What You'll Actually Do Manage Bids & Procurement Portals
Execute RFP and Bid Submissions: Submit RFP responses, proposals, and bids via enterprise and government e-procurement portals (like SAP Ariba and Proactis).
Package Compliance Docs: Ensure every submission is accurate and complete by attaching all required vendor and compliance documentation, including SOC 2 reports, W-9s, and sole-source justifications.
Navigate Legal & Compliance
Broker Insurance & Terms: Coordinate with insurance brokers to secure Certificates of Insurance (COIs) and collaborate with internal stakeholders to review statutory-language edits during contract negotiations.
Maintain the System of Record: Keep our compliance repositories organized by accurately saving executed BAAs, HIPAA documents, and government addendums directly into Zoho Books.
Enable the Sales-to-Delivery Handoff
Validate the Deal: Serve as the vital bridge between a signed contract and client success. You will promptly reconcile inbound Purchase Orders (POs) against finalized agreements.
Give the Green Light: Act as the final gatekeeper for order fulfillment, providing the official authorization to the Sales team to initiate the customer onboarding ticket once the received PO is matched to the contract in Zoho Books and all other financial requirements are met.
Reconcile Usage and Overages: Ahead of each renewal, pull current-period usage reports, check past payment standing, and calculate overages to reconcile against the new renewal term.
Support Renewal Execution: Give Sales the overage breakdowns it needs for the renewal conversation, update quote expiration dates, issue renewal invoices, and provision added message credits once the renewal is approved.
Invoice and Follow Up: Issue invoices accurately and on time, and follow up on open POs, unpaid invoices, and outstanding submissions until each one is closed out.
Work Hand-in-Hand with Finance: Partner directly with Finance on POs and checks, including matching payments to invoices and flagging exceptions, so the two teams run one connected process.
Required Qualifications
5 - 7 years in Revenue Operations, Deal Desk, Sales Finance, or Contract Administration, ideally in a B2B SaaS or technology environment
Strong analytical skills. You can audit platform utilization data, calculate billing overages, and reconcile an account without a template to follow
Sharp attention to detail. You are the person who catches the missing signature page before it costs a bid
Comfortable operating as the connective tissue between Sales, Finance, Legal, and Implementation
Deep understanding of government procurement processes, regulations, and compliance requirements
Experience navigating government contract management systems, portals, and reporting requirements
Excellent problem-solving skills to navigate the unique challenges and requirements of government contracts
Strong verbal and written communication skills
Proficient in Microsoft Office Suite, particularly Excel (utilizing pivot tables and VLOOKUPs)
Preferred Qualifications
At least 1 year of experience directly handling government contracts
Experience with Zoho Books, Zoho CRM, or similar mid-market platforms preferred
Public sector or public health contracting exposure (cooperative purchasing vehicles, state term contracts, or WIC programs) is an asset
Experience building or documenting a quote-to-cash process
Hands-on experience executing formal vendor bids through enterprise or government e-procurement platforms (SAP Ariba, Proactis, or similar)
Working fluency with SOC 2, HIPAA, and BAAs, plus the confidence to review statutory contract language
What Success Looks Like in the First 90 Days
Develop proficiency with attention to detail in the quote-to-invoice process and accurately process real quotes and invoices with minimal supervision.
Decrease the previous month's backlog of PO and invoicing by 50%.
Produce clean overage calculations and renewal reconciliations for accounts.
Build a solid understanding of our SaaS product's features and billing implications.
Regularly assess your own understanding and comfort level with core processes and concepts.
Proactively seek out additional learning resources or training opportunities to fill knowledge gaps.
Keep a running list of questions and topics to review with the trainer during available sessions.
Who You'll Work With
You will report to Teletask's executive leadership team and sit at the center of the revenue cycle. You will own routine decisions and submissions, recognize when a matter genuinely needs to be escalated, and stand behind your decisions rather than routing every ambiguity upward. A given day might mean a submission in the morning, a statutory-language edit at noon, and a validate deal implementation in the afternoon. The team is small by design, so the process you build becomes the way Teletask operates.
What We Offer
Ownership of the revenue cycle end to end bids, compliance, contracts, and renewal billing in one seat rather than split across four
The chance to build process in a business where operational machinery, not product, is the growth constraint
An entrepreneurial, fully remote environment with high visibility and autonomy
Exposure to the Solen Software Group portfolio company network and operating model
