Job Summary:
The HR Coordinator provides accurate and timely support for Dayforce operations and general HR and office administration. The role processes approved Dayforce transactions, supports timekeeping and payroll coordination, maintains employee records and standard HR documents, responds to routine employee requests, and coordinates onboarding, offboarding, meetings, events, executive-visit logistics, and administrative requirements across the different offices. When an approved HR or administrative request from a department requires a purchase, the position coordinates the request and supporting documents with Finance or Procurement and monitors its status through completion. The role also supports HR meetings by preparing logistics and materials, taking and distributing minutes, maintaining action-item trackers, and following up on agreed deliverables.
Key Accountabilities / Job Functions:
- Dayforce Administration and Transaction Processing — Process and monitor approved Dayforce transactions, including hires, transfers, reporting-line or job changes, work assignments, status updates, timekeeping changes, and separations. Validate required approvals and supporting documents, maintain transaction trackers, correct routine data discrepancies, respond to Dayforce user concerns, and escalate matters requiring policy or technical decisions.
- Timekeeping and Payroll Coordination thru Dayforce — Monitor Dayforce timekeeping exceptions, follow up on missing or incorrect entries, validate approved adjustments, and coordinate payroll-impacting concerns with employees, managers, and Payroll. Observe payroll cutoffs, maintain supporting documents, and prepare routine attendance, overtime, leave, and payroll-related reports.
- HR Administration, Records, Meetings and Employee Requests — Maintain electronic and physical personnel records, standard letters, certificates of employment, templates, trackers, and document-retention files. Manage routine employee requests, HR inboxes, calendars, schedules, room bookings, and meeting invitations. Prepare agendas and presentation materials as requested; attend designated HR meetings; take clear and accurate minutes; document decisions, owners, and deadlines; distribute approved minutes; maintain action-item trackers; follow up with owners; and organize meeting records confidentially.
- Multi-Office Administrative Request, Executive Visit and Purchase Coordination — Receive, record, and coordinate HR and administrative requests from the different departments and offices, including office supplies, pantry requirements, meeting or training needs, facility or building concerns, equipment or service requests, and HR event requirements. Support approved arrangements for visiting executives from CCL, Corporate, or other brands, including car service, airport or office transfers, accommodations, itineraries, booking details, confirmations, and coordination with the executive’s point of contact. Confirm request details, business justification, approvals, and supporting documents. When an approved request requires a purchase, endorse and coordinate it with Finance or Procurement, monitor its status through delivery or completion, provide updates to the requesting department, and maintain complete records. The role does not own vendor accreditation, selection, negotiation, or vendor management.
