Marketing Administration Assistant – Contact Records

Marketing Contact List Assistant

Office Administration | Marketing Contact Lists | Remote | Full-time | 60,320–63,440 per year

A clean contact list makes the next campaign easier

This remote role supports the administrative side of an existing marketing program. You will update approved contact details, check for obvious duplicates, and note entries that cannot be matched confidently. The marketing team decides the message and who may receive it; your responsibility is to keep the supplied online list accurate under its instructions.

A request might provide a corrected email address, a revised organization name, or a note that a contact should be reviewed before another message is sent. Read the source carefully and find the right record. If two people share a name or an entry appears in more than one place, stop before combining records. An incorrect merge can make the next communication confusing or send information to the wrong person.

List updates can arrive as a new form submission, a corrected email address or a request to stop using a contact. Those are different instructions. Follow the source record and the employer's permission rules before editing any marketing field. A correction to spelling should not silently change a person's stated communication preference. If two entries appear to represent the same contact, flag them for review with the identifiers you compared; do not merge them solely because the names look alike. Record the update date and its source so the next campaign uses a traceable list.

From update to checked record

You may work in a spreadsheet or a web-based contact system. Compare the change with the existing fields, enter only what is supported by the request, and check the saved result. Keep a short note of anything pending another person’s decision. If the team has a process for a contact’s communication preference, follow it precisely; do not add someone to a list simply because their address was found online.

Some assignments involve identifying returned messages or contact entries with missing fields. Your work is to flag these for review or make a permitted correction, not to guess at private information. When a colleague later opens the list, they should be able to tell what was changed and why a particular entry remains unresolved.

What makes someone effective here

Careful reading, basic spreadsheet confidence, and the ability to compare similar records are important. Customer service experience can help you understand why accurate contact information matters to the recipient. Office administration experience can help with version control and orderly records. Neither background is required; applicants beginning a career in either area are welcome. The team can show you how its contact records and approval process operate.

Remote work involves contact data that should be handled privately. A home office or similarly suitable workspace can support that requirement. The hiring company will confirm its schedule and any particular equipment expectations.

The work may also involve checking a small batch before a scheduled send. Review whether the contacts were added through the expected source and whether an exclusion instruction has been applied. If a row has an incomplete email or conflicting preference, leave it out for review under the employer's rules instead of forcing it through the import. Beginners can learn the list software; careful treatment of permission and accuracy matters more than previous campaign experience.

Application information

You can highlight accurate data entry, list maintenance, or a habit of checking information before sharing it. If your experience comes from school or another field, explain its relevance through your resume where possible. A formal marketing title is not needed.

If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. Applicants with little prior experience should still consider the role if they can work carefully and learn an established process.
