Office Assistant / Receptionist

The Office Assistant / Receptionist serves as the first point of contact for employees, visitors, vendors, and applicants. This position is responsible for greeting visitors, answering phones, managing visitor sign-in procedures, and providing general office support to HR and management. The position requires strong communication and organizational skills, professionalism, confidentiality, and the ability to follow company GMP, food safety, safety, and security procedures. Must have a valid driver's license. Bilingual English/Spanish is a plus.

Position Summary

The Office Assistant / Receptionist is responsible for managing the front desk and serving as the first point of contact for employees, visitors, vendors, drivers, applicants, and guests entering the facility. This position provides professional customer service while supporting visitor control, communication, and general administrative functions.

The position plays an important role in maintaining a professional, organized, and secure front office while ensuring visitors follow all applicable company, safety, GMP, and food safety requirements.

Key Responsibilities

• Greet and welcome visitors, vendors, applicants, and guests in a professional manner.
• Determine the purpose of each visit and contact the appropriate employee or department.
• Ensure all visitors complete required plant entry procedures.
• Monitor the reception area and report unusual or unauthorized activity.
• Maintain accurate visitor records and logs.
• Answer and direct incoming phone calls professionally.
• Take accurate messages and relay them promptly to the appropriate employee.
• Receive, sort, and distribute incoming mail and packages.
• Assist with filing, scanning, copying, and general office organization.
• Maintain front desk forms, logs, and records.
• Support HR and management with administrative tasks as needed.
• Assist with employee communications and distribution of company notices.
• Maintain strict confidentiality of company and employee information.
• Follow all company GMP, food safety, safety, and security requirements.
• Ensure visitors receive and follow required PPE and plant entry requirements.
• Prevent unauthorized individuals from entering restricted production areas.
• Follow visitor and contractor procedures.

Required Qualifications

• High school diploma or GED preferred.
• Professional, friendly, and effective verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks and prioritize responsibilities in a busy environment.
• Computer proficiency, including email, Microsoft Office, and data entry.
