Why SOFICO?

At SOFICO, we’re shaping the future of mobility - and we’re doing it together. Our software, Miles, is a leading platform that enables companies worldwide to manage their leasing, fleet, and mobility operations in one integrated system. Every day, we help our customers work smarter, more efficiently, and stay ahead in a rapidly evolving industry.

Behind that impact is a close-knit, international team that values collaboration, ownership, and continuous growth. We move forward with ambition but stay grounded in a culture where people support each other and take pride in what they build.

From our office in Porto, we are looking for an Office Manager to be the pivotal force that keeps our vibrant, international office running smoothly! As an organized, proactive, and charismatic professional, you will join our modern, growing team. If you thrive in a dynamic environment and love being the go-to person who makes things happen, this varied role is for you.

You will be the welcoming face of our company and the organizational mastermind behind the scenes, ensuring a seamless experience for colleagues and visitors alike.

This is a part-time position (20 hours per week), offering flexibility while playing a key role in the day-to-day success of our office.

What you’ll do...

• Be the Heart of the Office: Serve as the first point of contact for visitors, employees, and external partners. Act as the key liaison with our co-working space to coordinate employee access, visitor arrangements, meeting room bookings, courier and postal services, and day-to-day workplace needs;

• Operational Excellence: Oversee daily office operations, proactively manage inventory levels and office supplies, place and track orders, handle expenses, coordinate facility-related contracts and maintenance interventions, and ensure the workspace remains professional, functional, and welcoming at all times;

• Travel Arrangements: Coordinate end-to-end business travel, including flights, accommodation, ground transportation, and itinerary management;

• Financial Administration Support: Support day-to-day financial administration, including processing expense reports, tracking expenditures against budget, and coordinating with external suppliers and service providers;

• Event Coordination: Plan and organize internal meetings, team events, and company activities, ensuring seamless execution and a positive employee experience.

What you bring...

• A proactive professional with a relevant bachelor's degree or equivalent experience; a background in office management, hospitality, business administration, or workplace operations is a plus;

• 3+ years of experience in office management, workplace operations, or a similar administrative role;

• Previous experience in a fast-paced technology, scale-up, or startup environment is an advantage;

• Fluent communication skills in both Portuguese and English, with the ability to build strong relationships across all levels of the organization;

• Exceptional organizational, time management, and problem-solving skills, with a proactive, detail-oriented approach to managing multiple priorities, projects, and operational challenges effectively;

• Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, and Word) and experience using collaboration and productivity tools such as Microsoft Teams;

• Experience managing suppliers, vendors, and workplace service providers, with strong follow-through and stakeholder management skills;

• A customer-service mindset and a genuine passion for creating an exceptional workplace and employee experience;

• High levels of discretion and professionalism when handling confidential and sensitive information.

What’s in it for you...

• Competitive salary package;

• Fully covered private health insurance, so you can focus on what matters most;

• A modern co-working space offering a comfortable working environment;

• From day one, you’ll be supported through a structured onboarding program, with guidance from a dedicated coach to help you get up to speed and grow in your role;

• And because strong teams go beyond day-to-day work, we regularly create opportunities to connect - from casual drinks to team activities and company-wide events.
