Operations & Support Specialist

About Zeffy

🌍 More power to the people changing the world. Nonprofits have an immense impact on the world. They feed communities, protect the planet, educate children, and fight for justice — but their tools are holding them back. That’s why we’re building the global infrastructure to help them reach their full potential.

⚡ At Zeffy, we’re building the technology they’ve been missing. Today, 100,000+ nonprofits use Zeffy worldwide, with more than 10 million people relying on it. Together, they’ve raised over $2B — and every dollar goes directly to their cause.

🚀 Strong profiles, driven by impact Zeffy is one of the fastest-growing startups in Canada and France. We’re a small, highly efficient team that builds fast and takes ownership. We hire selectively with high expectations and real autonomy. Everyone is hands-on, and decisions are made quickly, without layers or unnecessary processes.

If this resonates, let’s meet.

About the role

As an Operations Specialist at Zeffy, you’ll play a critical role in protecting our platform and users as we scale across North America and expand into new markets like Australia, the UK and, the EU.

The challenge? As our products and payment operations expand, new fraud patterns appear and fraudsters constantly push the limits of our defenses. Bad actors are also deploying AI to generate sophisticated fraud schemes. Your mission is split 50/50: managing the frontline—conducting in-depth reviews on suspicious NPO queues and handling direct verification correspondence with nonprofit leadership—while cracking the operational load to find the big, radical solutions that cut fraud management time in half.

Over the past few months, our fraud team has:

• Increased user satisfaction with fraud verifications by 20 points, setting a best-in-class benchmark for frictionless security.

• Automated nonprofit background checks through cloud AI agents, enhancing fraud detection and proactively identifying compliance gaps.

• Kept fraud losses around 1% of margin, striking the perfect balance between strong protection and healthy growth.

• Streamlined payment dispute handling, cutting processing time by 3× through smart automation.

Operations Principles at Zeffy:

• Fast decisions, faster implementation: We’re a very small team, which means rapid decision and implementation cycles.

• Full-stack mindset: From frontline to systems. We alternate between resolving live risk queues and turning those manual investigation patterns into scalable automated workflows.

• 80/20 obsession: We optimize for impact over effort. We’re not looking for perfection in solutions - we’re looking for the 20% of work that delivers 80% of the results.

• Carte blanche to innovate: We start from a healthy, functional baseline. You have full autonomy to optimize and innovate - scoring models, AI automation, new detection patterns. You hold the cards to create your own ideal working situation.

• Impact > hierarchy: The best idea wins, no matter who it comes from. If you have the better solution, you’ll be given ressources to implement it.

We’re looking for someone with 0-2 years of experience (this can be your first job!) in operations, back-office functions, or customer-facing roles, ideally in a startup, fintech, or payment company. Prior fraud experience is not required: we can train you from scratch.

We move fast by keeping things simple, and we want someone who shares that mindset.

• You’re an empathetic communicator with clear communication in French and English, strong client focus, and ability to build trust while handling sensitive cases.

• You have a investigative analytical instinct. You love connecting the dots and spotting weird behaviors. You’ve worked with data - spreadsheets, SQL, BI tools, or anything in between to build logic, and dig until you find emerging patterns. You don’t need someone to hand you the answer.

• You have high grit and a finisher’s discipline. You get genuine satisfaction from closing loops, achieving backlog zero, and resolving thorny edge cases. You take pride in meticulous execution and the daily grind—you want to be on the frontline, not in an armchair strategy role.

• You have an operational hacker mindset. When you see a repetitive task, your first instinct is to fix it - not just flag it. You’ve used automation tools, written scripts, or built workflows to cut waste. Bonus if you’ve worked with no-code automation tools (Claude Cowork/skills, n8n, Make, Zapier, etc.).

💡 Research shows that candidates from underrepresented backgrounds often don’t apply for roles if they don’t check every box. If this applies to you and you are interested in the position, we’d love to hear from you!
