People Operations Coordinator (Boston)Imagine the What. Build the How.
Scandit gives people superpowers. Whether enabling delivery drivers to make quicker deliveries, matching a patient with their medication or allowing retailers to make store operations more efficient, our technology automates workflows and provides actionable insights to help businesses in a variety of industries. Join us, as we continue to expand, grow and innovate, and help take Scandit to the next level.
Our Work Model
Hybrid: This is a hybrid role. You will work from our Boston office 2 to 3 days per week, with the flexibility to work remotely on the other days.
About the Role
You are the only People team member in the US and the first point of contact for colleagues in Boston and across the Americas. Your line manager and the wider People team are in Europe, so you will work independently for part of each day. About half the role is People Operations, a quarter is first-line employee relations and a quarter is Workplace Experience. It suits someone from a tech or software company who enjoys variety and uses common sense over rigid process. As you build relationships locally, the scope can grow into more employee relations and partnering. Here's how you'll contribute:
People Operations
- Be the first point of contact for employee queries, resolving them in our case management system (Zendesk) or pointing people to the right information.
- Maintain our HRIS (Workday), keeping records accurate, sending timely data to Payroll and meeting federal, state and local compliance requirements, including I-9s.
- Run the employee lifecycle with our PEO: offers, agreements, onboarding, changes, leaves, departures and verifications. Run Day 1 Orientation for Boston starters.
- Support People projects and budgets, and use AI tools to speed up drafting and tracking while protecting accuracy and confidentiality.
Employee Relations and Advisory
- Act as first-line advisor on absence, leave, performance, accommodation, complaints and investigations. Triage cases and handle straightforward ones end to end.
- Own the ER case log and audit-ready documentation, including letters, separation paperwork and meeting minutes.
- Coach managers through everyday people conversations and escalate complex or high-risk cases to the People Partner.
- Apply US federal and Massachusetts employment law and Scandit policy consistently, and flag recurring themes to the People Partner.
Workplace Experience and Events
- Keep the Boston office running smoothly: supplies, shared spaces and non-IT equipment, in line with health and safety standards.
- Coordinate in-person, virtual and hybrid events, from team meetings to all-company celebrations, including logistics, catering, A/V and attendee communications.
