The Snapshot
You’d be joining the finance team of a venture-backed US maritime transportation company. They build all-electric vessels that travel just above the water, with the speed of a plane and the convenience of a boat, to make coastal travel faster and cheaper. It’s a team of 150 to 250 people that blends aerospace and maritime expertise. The in-house finance team is strong, and it needs dependable offshore support for day-to-day accounting and weekly payroll.
You’d work with the Director of Finance and the wider finance team, including other offshore colleagues. Most of your week is accounting in NetSuite (roughly 25 to 30 hours), with the rest on weekly payroll in Gusto (roughly 10 to 15 hours).
This role is based in the Philippines, working full-time hours aligned to US Eastern time.
What You’ll Actually Do
This is detail-heavy, deadline-driven work. The numbers have to be right, and the close calendar and the weekly payroll run don’t move.
Accounting in NetSuite (the larger share of your week)
- Prepare and post journal entries (accruals, prepayments, payroll-related entries) in line with US GAAP and the company’s accounting standards
- Review general ledger balances, investigate variances and keep the ledger clean and current
- Reconcile assigned accounts every month: bank accounts, payroll liabilities, prepaid expenses, accrued liabilities and other balance sheet accounts, and resolve discrepancies promptly
- Prepare clear reconciliation workpapers that the Controller or VP Finance can review easily and that are ready for an audit, and keep supporting documents for every reconciliation and journal entry
- Complete your assigned month-end close tasks on the close calendar, and prepare schedules and reports when asked (such as payroll expense summaries and headcount reports)
- Support external audits by providing schedules, workpapers and reconciliation support to the finance team and auditors
Payroll in Gusto (weekly)
- Prepare payroll for 150 to 250 US employees: check earnings and deductions, reconcile timesheets, confirm benefit deductions, and get each run ready for internal approval and processing
- Keep employee payroll records accurate in Gusto: new hire setup, pay changes, benefit set-up, tax withholding elections and any employment change that affects pay
- Handle the non-standard events: off-cycle runs, holiday hours for hourly employees, pay changes, and employees moving between states (updating state tax and recovering over-withheld amounts)
- Apply US federal and state payroll rules (FICA, income tax withholding, multi-state payroll and payroll tax reporting) so each run is correct before it goes for approval
